Head of Italian Symposium – UIS Spain Chapter
Important: This is a volunteer position. The UIS executive team operates entirely on a voluntary basis.
Time required: 4–6 hours per week (variable, increasing in the weeks leading up to the event)
United Italian Societies (UIS) Spain is looking for an ambitious, strategic, and highly organized individual to lead the Italian Symposium in Spain. This flagship event gathers Italian students, professionals, and institutional figures to discuss pressing issues, share experiences, and foster meaningful connections across academia, industry, and civil society. As Head of the Symposium, you will be responsible for overseeing the event from ideation to execution, with the support of a dedicated team of volunteers and officers.
Key Responsibilities
Event Strategy & Planning
Define the annual theme of the Italian Symposium in Spain, along with the event duration and format, ideally spanning multiple universities and cities.
Design a compelling agenda that includes keynote addresses, panel discussions, networking sessions, and interactive workshops.
Coordinate timelines, key milestones, and delegation of responsibilities within the planning team.
Guest Speaker Coordination
Identify and recruit high-profile speakers aligned with the Symposium’s theme (e.g., academics, business leaders, policymakers, creatives).
Oversee all guest logistics, including invitations, travel arrangements, accommodations, and scheduling.
Ensure each speaker has a clear, well-managed experience from onboarding to post-event engagement.
Sponsorship & Budget Management
Collaborate with the local Head of Finance to define the event budget and secure funding from sponsors and partners.
Negotiate support to cover venue costs, speaker travel, catering, and other key expenses.
Track expenditures and ensure a cost-effective event without compromising quality.
University Partnerships
Build and maintain partnerships with Spanish universities to host the event, ensuring access to appropriate venues and student networks.
Coordinate with university staff and student bodies to facilitate logistics and promote engagement.
Leverage academic partnerships for speaker suggestions, venue bookings, and marketing.
Marketing & Communications
Partner with the marketing team to launch an engaging communications campaign at least one month before the event.
Use the Gomry App for ticketing and digital outreach.
Coordinate media coverage with the UIS External Relations team and ensure press presence.
Promote the event on university websites, social media platforms, and UIS channels to maximize visibility.
Team Leadership
Recruit and manage a team of at least 10 “hands-on” volunteers and 5 core officers.
Assign roles, manage timelines, and ensure clear communication and delegation.
Foster team cohesion and accountability to deliver a well-executed event.

A passionate leader who believes in the mission of UIS and wants to strengthen the Italian student community in Spain.
Experience in team leadership, budget management, or university partnerships is a strong plus.
